Step 1: Introduction to Microsoft Word
1. What is Microsoft Word?
Microsoft Word is a word-processing program used to create, edit, and save documents. It is part of the Microsoft Office suite and is widely used in offices, schools, and personal work.
2. How to Start with Microsoft Word
(i) Installing Microsoft Word on Your Computer
- If you haven't installed Microsoft Word, you can purchase and download it from Microsoft 365.
- There is also a free online version available at Office.com.
(ii) Opening Microsoft Word

Open Microsoft Word:
- Search for Microsoft Word in the Start Menu (Windows) or Applications (Mac).
- Click the Word icon to open the program.

Creating a New Document:
- After opening Word, select New Blank Document to start a new file.
- You can also choose a pre-designed template for letters, reports, or resumes.
3. Microsoft Word Interface
When you open Word, you will see different sections:
(i) Ribbon:
- Located at the top, it contains different menus like File, Home, Insert, Design, Layout, References, Mailings, Review, View.
- Each menu has different commands to help you edit your document.
(ii) Document Area:
- This is the main section where you type your text.
(iii) Quick Access Toolbar:
- Located at the top left and includes shortcut buttons like Save, Undo, Redo.
(iv) Status Bar:
- Displays the word count, language, and document status (saved or unsaved).
4. Basic Functions in Microsoft Word
(i) Typing Text
- Click inside the document area and start typing.
- Press Enter to move to a new line.
- Use Backspace or Delete to erase text.
(ii) Saving a Document
- Click File > Save As.
- Choose where to save (Computer, OneDrive, USB).
- Enter a file name and select the file type (Word Document - .docx).
- Click Save.
(iii) Opening a Saved Document
- Click File > Open and select the document you want.
